STUDENT GUIDELINES FOR ACHIVING FIELDWORK PROJECTS

Projects submitted to the archive must meet all of the following requirements to be accessioned. However, not all projects submitted are accessioned by the archive. Selection is based on the topic of the project, not the grade. All necessary information and required forms (including examples) are available here, online.

* All projects must be based on actual fieldwork.

* All projects must include a typed Master Sheet. Please fill out the Master Sheet completely and with as much detail as possible. Consult the Archive Terms when selecting which terms to list for geographic region, genre, and folk group.

* All projects must include a signed and dated Release Form on which the collector may designate restrictions to the use of their projects in the future.

* All projects must include text sheets for every folkloric item documented, such as songs and photographs. Interviews must be transcribed in full. Students may also excerpt pertinent parts of interviews in text sheets. Transcription headings must follow the text sheet-heading format. Transcription machines are available on loan to UO students from the Archives.

* Students who submit additional media/materials with their projects—tapes, DVD’s, or large quantities of slide, for example—must fill out the supplemental materials form. Label media case with the following information:
- Informant’s name
- Date of collection, location, and brief description of contents—for example, “birth narratives” or “digital photographs of gingerbread houses”
- Collector’s name

* Students must submit two copies of their projects to their professor, one for the archive and one for the professor to grade.

* PLEASE NOTE: In the event that a project is submitted that does not fulfill the above requirements, the student has one term following the term of submission to fulfill the requirements. If the student does not fulfill the requirements or retrieve their project by this deadline, the project will be discarded.
